Privacy policy
Examit collects as little personal information as it can while still running a website and answering messages. There are no accounts, no advertising trackers and no profiling. This page explains exactly what is collected, why, how long it is kept, and what you can ask us to do about it.
Short version
- No accounts, no logins, no user profiles.
- No advertising networks, no third-party analytics, no social media widgets.
- Your theme and text-size choices are stored in your own browser and never sent to us.
- If you email us, we keep the correspondence for up to twenty-four months so we have context if you write again, and we delete it sooner on request.
- We do not sell, rent or trade personal information. We never have and will not.

Who we are
Examit Educational Resource Centre is a not-for-profit organization registered in the Province of Ontario, Canada, with its registered office at 245 Bloor Street East, Suite 610, Toronto, Ontario M4W 3T5. For the purposes of Canadian privacy legislation we are the organization responsible for the personal information described here. Our privacy officer can be reached at info@examit.club or on +1 (416) 555-0182 during business hours.
This policy is written to reflect the principles of the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario legislation. Where a visitor is located in a jurisdiction with additional protections, we apply whichever standard is more protective in practice.
What we collect
Information you give us deliberately
If you write to us by email, use the message form, register for a reading circle or workshop, request an alternative format, or offer to volunteer, we receive whatever you choose to put in that message. That typically means your name, an email address, and the content of your enquiry. Every field on our message form except the message itself is optional, although we cannot reply without an email address.
Information collected automatically
Our web server keeps standard request logs. Each entry records the IP address making the request, the page requested, the date and time, the HTTP status returned, and the browser’s user-agent string. These logs exist for security, fault diagnosis and capacity planning. They are not used to build profiles of individuals and are not linked to any other information.
Information stored on your own device
The site stores two preferences in your browser’s local storage: your chosen colour theme and your chosen text size. These are read only by your browser and are never transmitted to us. Deleting your browsing data removes them. Details are in the cookie policy.
What we do not collect
We do not use advertising networks, behavioural tracking, cross-site identifiers, fingerprinting techniques, third-party analytics services or embedded social media widgets. We do not track which guides you read. We have no record of your study progress, because there are no accounts to attach it to.
One exception, and it is not ours
The map on our contact page is embedded from Google Maps. When that map loads, your browser contacts Google’s servers directly and Google may collect information according to its own privacy policy, over which we have no control. Every other page on this site loads only from our own servers and Google Fonts. If you would prefer not to load the map, the address and directions are given in plain text on the same page.

Consent
When you send us a message you are consenting to us using the information in it to answer you. That is the whole of the consent we ask for. We do not add correspondents to mailing lists, we do not use enquiry addresses for anything other than the enquiry, and we do not ask you to accept bundled permissions in exchange for access to material.
You may withdraw consent at any time by writing to info@examit.club. Where withdrawal means we can no longer do something you asked for — sending you the alternative-format file you requested, for example — we will tell you plainly rather than proceeding anyway.
How long we keep it
- Email correspondence: up to twenty-four months from the last message in the thread, then deleted. Sooner on request.
- Workshop and reading circle registrations: until the programme ends, plus three months for follow-up, then deleted.
- Alternative format requests: six months, so we can re-send a file if it goes astray.
- Server logs: thirty days, then permanently deleted. Logs relating to an active security investigation may be kept longer, and only for that purpose.
- Records required by law (financial records, for example) for the periods Canadian law requires.
Security
The site is served over HTTPS. Access to email accounts and hosting is restricted to the staff who need it, protected by multi-factor authentication, and reviewed when someone leaves. Backups are encrypted. We do not store payment information because we do not take payments.
No system is perfectly secure, and it would be dishonest to claim otherwise. If a breach occurred that created a real risk of significant harm, we would notify affected individuals and the Office of the Privacy Commissioner of Canada as the law requires, and we would say what happened rather than issue a statement about how seriously we take security.
Your rights
You may ask us to:
- Tell you what we hold about you, and where it came from.
- Correct anything inaccurate or incomplete.
- Delete your correspondence and any registration records.
- Explain how a particular piece of information is being used.
Write to info@examit.club. We will respond within thirty days at the outside, and usually within a week. There is no charge. We may ask a question or two to confirm you are the person the information relates to — not to obstruct the request, but because handing someone’s correspondence to a stranger would be worse than the inconvenience.
Young learners
Our material is used by secondary-school students, and we are glad of it. The site is designed so that a young person can use everything on it without providing any personal information whatsoever — no account, no email, no download form.
We do not knowingly collect personal information from children under thirteen. If a parent, guardian or teacher believes we have received such information, write to us and we will delete it promptly. Teachers requesting class sets should write from an institutional address rather than asking students to contact us individually.
Changes to this policy
If we change this policy we will update the date at the top of the page and describe the change in the news section rather than quietly replacing the text. Material changes to how we handle existing personal information would be notified directly to anyone affected. This policy has been revised twice since it was first published in 2014; both revisions narrowed what we collect.
Questions and complaints
Write to our privacy officer at info@examit.club or by post to Privacy Officer, Examit Educational Resource Centre, 245 Bloor Street East, Suite 610, Toronto, Ontario M4W 3T5. We will acknowledge within one business day and respond substantively within thirty days.
If you are not satisfied with our response, you have the right to complain to the Office of the Privacy Commissioner of Canada, which oversees compliance with federal privacy legislation and can be contacted independently of us.
